Alameda Health System Foundation (AHSF), a California 501 c(3) nonprofit, is seeking a motivated and organized Development Specialist to join its growing team of fundraising professionals dedicated to Investing in Caring, Healing, Teaching, and Serving All . The Development Specialist provides a variety of executive administrative support and donor/funder relations services and is shared equally between the two directors. These include serving as administrative assistant to the Director of Leadership & Planned Giving and performing activities related to major gift and planned giving programs or campaigns. The position also supports the Director of Corporate & Foundation Relations including performing activities related to formatting, assembling, submission, and tracking of grant proposals and reports; maintaining documentation and funder files; coordinating site visits and other funder meetings; and related activities.

Duties and Responsibilities:

Executive Support: Assists Director of Leadership & Planned Giving and Director of Corporate & Foundation Relations with all needed administrative support on daily basis. This includes:

  • Preparing or finalizing correspondence and other written materials with attention to proofreading and grammar
  • Designing PowerPoint presentations
  • Coordinating calendars and arranging meetings and events (such as site visits)
  • Performing routine and special projects involving researching information, summarizing data, and preparing reports related to major gift or planned giving program efforts, and to corporate and foundation proposals and reports
  • Helping prepare donor and funder proposals, arranging meeting logistics, and scheduling telephone conferences
  • Maintaining donor and funder records, pledges/gifts, and related documents
  • Helping plan and execute donor stewardship events including funder site visits
  • Assisting with creating, maintaining, and updating general information disseminated to donors about major gift and planned gift opportunities, as well as grant-funded programs and capital/equipment projects, both in printed form and on the Foundation’s website
  • Helping arrange mailings of marketing materials to target audiences
  • Other duties as assigned

Education and Relevant Experience:

  • Associate Degree; Bachelor’s Degree preferred
  • 3 years experience supporting senior level professionals in an administrative role to either donor-facing or customer-facing executives
  • Proficient in Word, Excel, and PowerPoint
  • Experience using customer contact software; Raiser’s Edge software preferred
  • Experience using design software such as Adobe InDesign
